I. Loretta James, co-chair opened the meeting at 1:05 p.m. She asked who wold like to tour the NYU Medical Center, where the event will be held. Several people signed up to visit the center and the date of the visit was tentatively set for February 10, 2009 at 11 am.
II. Eleanor Solo, DAW Liaison, informed the group that there are:
5199 people registered from 455 organizations
59 parallel events for missions and UN entities
218 parallel events for NGOs
For the event, the schedule of parallel events should note that Conference Room B is UN
Conference Room B (not the Church Center.
The CSW itself will be in Conference Room 2.
Documents in all six UN languages will be delivered to Conference Room B for our use on the first day of the CSW – Monday, 2 March 2009. The Division will make sure that the number needed in each room will be there.
Student interpreters from Pace may be able to come in on Friday afternoon to register for
their passes. Eleanor will confirm this
Flyers for side events may be distributed at the morning briefings on the day of your event. They must be removed after the briefing and cannot be left on the delegates’ desks.
III. Handbook Subcommittee, Weishan
First meeting of the committee was last week. The copy is being submitted and reviewed for the content pages. So far, $4,000 for ads has been received with one more week to go. Due date is Friday, January 30 for advertising. She believes that we have enough in ad revenue now to cover the cost of the printing of the book. In the last week she has received several more designs for the cover. The committee will made the decision about the cover design soon.
IV. If money is needed for reimbursements, please give receipts to Weishan as the treasurer.

b. Everyone is working with their groups and things are going well.
VI. Details of the girls orientation will be finalized next week. This is an opportunity to meet with all the girls participating with side events or UN events. It will create a space and time for them to build their own network and be prepared for the conference.
If you have girls who may be interested, let the Working Group on Girls know. They hope to use the “youth” check box for the registration.

VII. Consultation Day
List of registration day helpers is in progress. If people would like to volunteer but are not here today they should email Catherine Ferguson at the address above.
Deadlines for Packet preparation:
Material for the registration day packets should be camera ready by February 10. Judy Lear has given Loretta a list of these items and Loretta will ensure that materials that are the same as last year will be ready. Those who are responsible for the flyers for this year’s reception and other new items should have them to Loretta by 10 February.
Feb 16-19: Volunteers get camera ready documents and make 600 copies in color and take them to the NGO CSW between 16 and 19 February

It may be possible for DAW to provide SG report and the outcome documents for the packets, Eleanor will make that request
VIII. Fundraising
Options of the bag for fundraising were displayed. The group chose the black bag and Loretta will work with Vivian to make the final determination of the design.
Bags hey will be sold for $10. They will be sold on Consultation Day at the Craft Fair and afterward at the Church Center. They will also be selling the notebooks at the same time.
IX. Round Tables Updates

Roundtable groups met briefly following the meeting.
X. If there are specific requests for whisper translation please let Catherine or Loretta know and they will contact Linda Stillman to see if students from Pace University can help.
XI. Next Meeting: Because of the Roundtable that will be held at next week’s meeting time and the Civil Society Forum for the Commission on Social development, the next priority theme meeting will be on 10 February.
The next planning committee meeting will be held on Monday, 2 February at 11 am at the Bahá’í International Community Offices.
